The Whisky Store from the Inside

A customer has sent us an order? Please follow this order on its illustrated way through The Whisky Store. The order was sent before 9 o’clock? We have to hurry - The order will be processed today.

The Team

In the beginning we talk a lot about Engineering. - Please keep up. You will see lots of whisky on this page.

Phone and Internet Access Box

Nearly all orders reach us by the means of this small box. In it hide the phone lines and the Internet access. All orders by phone, fax and Internet pass this little box.

Computer Server and Network Rack

All lines end in the two racks shown above. In them you find: the telephone switch board (upper right), computer connections (below) and the four servers (in the left rack). The servers are used for the Internet access, fax receive and poll, order processing and the catalogue and homepage development.

All orders and enquiries reach our call center in which three busy ladies help me to write internal orders from the wishes of my customers.

Because Mrs. Wilhelm works part time in the morning, I jump in for her in the afternoons. But most of my time is used for purchasing new whisky. Without a steady supply the order would have to stop now and the waiting time would count in weeks. But I looked ahead and arranged my precautions.

Whisky - Supply

The whisky reaches us by truck. It is already filled in bottles and packed in handsome cases. We do not bottle any whisky by ourselves. All bottles are branded goods and were already bottled in the country of origin.

We receive our goods on pallets, which we stock into our rack storage. From this buffer we feed the picking shelves with cases or single bottles. Only the purchase of complete pallets assures us, that no delivery problem of wholesalers or distilleries results in an instable supply of our customers.

Whisky - Live Storage (FIFO)

Not all whiskies sell equally good. A Lagavulin 16Yrs sells a thousand times better than a Glen Grant 1950. For all good selling brands we have reserved places in our modern 'Live Storage' racks. 'Live Storage' is based on the FIFO-principle: Goods stored first are taken out first. You feed cases or single bottles on the back side of the rack and you are able to pick single bottles on the front of the rack conveniently. The whisky bottles and cases move automatically.

The customers notice from these comfortable racks only the short processing time of orders. My staff also loves the short picking distances. If you think about the tons of bottles, you pick during a busy day before Christmas, then you love these racks for its ease of use.

With the secure whisky supply in our back we are able to process the order further. With the picking list from the office my busy staff is collecting the bottles into padded plastic cases. Bottles are treated with respect and reach the packing places in stacks of these padded boxes.

Since the move into the new building, each of our packers has now her/his own working place with an own PC and printer for address labels. Lefty or right hander, tall or small; everybody has arranged his/her place in an optimal way. There is also spare space for peak times. Three additional work places allow a total of 6 to pack parcels at the same time.

First load tests with the new packing equipment indicate, that we are able to pack a maximum of 1’000 parcels during an 8 hour shift. We reached this figure only once in the past. On a busy Monday before Christmas 2004 we shipped 1.000 parcels for the first time.

All packages move on a powered conveyor which forwards them to the strapping machine and the post containers.

It means for the customer, that goods are processed as carefully as possible. No manual lifting of parcels, no pile of parcels which may fall over or the worst: There are no parcels which may be lost in a corner. All packed parcels will automatically leave The Whisky Store.

Picking up of the parcel containers

The order is not yet completed, when the parcel leaves our store. With the cleared shipment list the customer receives a delivery confirmation from our office by email, which contains the parcel number and the exact destination. A secure sign for the customer, that s/he has to look for the parcel service in the following two days.

Bookkeeping and Finance (Soon there will be pictures of the staff)

Many parcels also mean many invoices, which we have to process afterwards. Our bookkeeping staff (Mrs. Kassal, Mrs. Speer) are fighting successfully against the paper flood every day. Revenues, automated money transfers and supplier invoices have to be processed accurately.

Both ladies only work part time. Questions relating invoices are therefore accepted also in the call center.

The order is closed by adding the payment into our books. But there is more to see inside the office of The Whisky Store. Were are the pictures of the bottles made? How do we develop our Internet homepage and the big whisky catalogue? Please be patient. - We will show these photos at a later date.

The Whisky Store is a mail order company in the first place. This is what we stand for. The German customers avoid the expensive travel and we are able to serve them the best way we can. Before the customer finds its way out to us, we have most often sent already the parcel.

But there are moments in life, when the customer wants to have a look at a bottle in reality, because s/he wants to give it to a beloved person. For these special moments in life, we have arranged a special showroom in which the customer finds 200 selected Premium whiskies.

Please follow our opening hours! Call us prior to a visit if you are not able to keep these times. This is mandatory! We do not have enough staff outside the opening hours to serve you. In this time we would to have leave 10 parcels open for which 10 customers are waiting desperately. The truck leaves at a given time. It is not able not wait.

Friday: 15:00 - 17:00
